Next-Gen Procurement Timeline

Below you will find a high-level timeline for the launch of the university's planned source-to-pay solution, Unimarket. This system will offer K-State users:

  • An intuitive user experience for managing bids, contracts, purchase orders and invoices all within a single, intuitive cloud-based system.
  • Robust sourcing capabilities, including a universitywide marketplace for the purchase of commong goods and services.
  • Supplier management tools.
  • Seamless integration with our existing financial systems.

This system, plus other efficiencies gained through our form migration efforts, will effectively result in the decommissioning of six disparate university systems in favor of a more efficient, consolidated tech suite for purchasing activities.

Implementation Timeline

Pre-implementation planning and current state needs assessment

March 2026

Requirements gathering and system configuration for the source-to-pay solution

April-September 2026

Testing and pilot group training of the source-to-pay solution.

October 2026

Pilot group go live and system feedback

November-December 2026

Final source-to-pay system adjustments, testing and campus training

January 2027

Universitywide go live

February 2027

Form Migrations

As the Unimarket implementation advances, we will also be migrating more than 50 existing financial forms used primarily by business/finance staff from multiple disparate systems into two streamlined, existing university systems:

  • Supplemental financial forms will be transitioned to Laserfiche.
  • Internal transfer and correction forms will be moved to FIS using a tool called APEX.
    • This includes the budget transfer forms, interfund forms and transfer of payment (payment correction) form.

Form migrations are expected to take place between May-July 2026 with thoughtful collaboration to ensure a seamless transition.

Ultimately, when combined with our source-to-pay solution, this will allow us to sunset six major systems as part of this project: eForms, Decisions, Outback, Cobblestone, Bids & Tenders, and Softdocs.
