New time and leave system progressing toward 2025 launch
As President Linton shared in his Next-Gen K-State update on Dec. 6, significant progress is being made on several important initiatives to help the university build and sustain the next-gen workforce, including a new universal time and leave system for the entire university.
The new time and leave system, led by Human Resources, will replace the university's current processes, including E-Time in HRIS. It also will replace other time and leave systems that were used by various business units prior to January 2024.
K-State seeks to launch the new system in spring 2025.
The time and leave initiative aligns with K-State's goal of continuous improvement and excellence across our business operations. It will do so by:
- Improving time reporting: The new system is user-friendly, making time reporting easier, more consistent and more accurate.
- Delivering a consistent experience: By standardizing training and making transitions across departments smoother, time reporting will be uniform for all employees across the university.
-
Optimizing payroll: The new system will streamline the payroll process by reducing steps at the department, HR and Financial Services levels to improve efficiency.
-
Reducing redundancies: Tasks will be simplified to improve efficiency. For example, the leave request process currently involves multiple steps with the employee, supervisor and HR liaison. The new process will combine the request, approval and time entry into two steps within the system, and users will be able to view requested and approved leave.
-
Providing better supervisor tools: Supervisors will be able to easily review employee hours and time-off requests via a supervisor dashboard.
HR's project team is making significant progress to ensure a successful rollout. They are meeting with stakeholders, configuring and testing the new system, ensuring data accuracy, reducing redundancies, updating processes, and revising policies and training guides. Signage is available to indicate where the new time clocks will be located.
Progress will continue to be shared via K-State Today and on the time and leave system webpage, where you can find answers to frequently asked questions and the latest news on training, implementation, etc.
