Event and lecture capture guidelines
The Division of Communications and Marketing and Office of Mediated Education have recently completed a review of the reservation process for event and lecture capture/streaming to improve service and reduce costs to the university.
Please observe these guidelines when requesting video capture or streaming services:
• Provide at least 14 days advance notice for the capture or streaming of any lecture or event.
• Arrange for access to the venue at least 90 minutes prior to the start of the event for equipment set up and testing. Reserving the venue with sufficient setup time is the responsibility of the requestor, not the technical staff providing capture-streaming services.
• If presentation media will be used — i.e. Powerpoint, Prezi or Keynote — it is the requestor's responsibility to arrange for the presentation computer and remote control. The technical staff capturing/streaming the event are not there to provide presentation support. Be aware it may be necessary to install a small application on the presentation computer to allow HD capture of the presentation, so make sure you have an administrator username and password for the presentation computer at the venue.
• Cost recovery fees may apply depending on type and time of event and complexity of the capture-stream.
Arrange for a recording or streaming of a lecture or event by completing and submitting the online form.
