Graduate Faculty Nomination Procedures
Membership, Clinical Membership, Graduate Faculty Associate, or Certification
Review Graduate Faculty eligibility and nomination requirements in Chapter 5 of the Graduate Handbook.
Submit the following to gradinfo@ksu.edu:
- A single PDF document that contains the following items:
- Letter of Nomination from the department head stating the intended role(s) of the nominee as a member of the graduate faculty, the nominee's research or creative activities, and additional qualifications to serve as a member of the graduate faculty.
- Nomination form (DOCX, PDF)
- One-page vita using the CV template (DOC) for review by Graduate Council
- A PDF copy of the nominee's complete vita with peer-reviewed publications clearly designated for Graduate School records
Certification
Doctoral certification can be sought at the same time a faculty member is nominated for membership on the graduate faculty or at any subsequent time. However, a faculty member may not be nominated only for certification if he or she has not already been nominated for membership.
Clinical faculty
In most cases, clinical faculty should be nominated for clinical graduate faculty membership. A clinical faculty member may be nominated for regular graduate faculty membership if minimum requirements are met as outlined in Chapter 5.A.4, and the second membership option (Graduate Council approval required) should be selected on the nomination form.
Non-Graduate Faculty to Teach Graduate Courses
Review eligibility and nomination requirements for non-graduate faculty to teach graduate courses in Chapter 5, Section E of the Graduate Handbook.
Submit the following to gradinfo@ksu.edu:
- A single PDF document that contains the following items:
- Letter of Nomination from the department head stating the graduate courses to be taught by the nominee, the rationale for the course to be taught by a non-graduate faculty member, and evidence documenting the nominee's capability in the specific program area.
- Nomination form (DOC, PDF)
- One-page vita using the CV template (DOC) for review by Graduate Council
- A PDF copy of the nominee's complete vita with peer-reviewed publications clearly designated for Graduate School records
Processing Timeline
Nominations eligible for approval by the Graduate School Dean:
- Graduate Faculty membership nominations for tenure track faculty with a terminal degree
- Emergency nominations for non-graduate faculty to teach graduate courses for one semester
Review and approval timeline
The above nominations will be reviewed by the Graduate School dean upon submission to gradinfo@ksu.edu. If all eligibility and nomination requirements are met, these nominations are reviewed and approved within 10 working days.
Nominations that require Graduate Council Approval:
- Graduate Faculty membership nominations for non-tenure track or adjunct faculty or those without a terminal degree
- Clinical Membership
- Graduate Faculty Associate
- Certification
- Non-graduate faculty to teach graduate courses for one-year
Review and approval timeline
- Nominations submitted to gradinfo@ksu.edu by the 10th of the month will be reviewed by the Graduate Council Academic Affairs Committee that same month. Nominations received after the 10th of the month will be reviewed by the Academic Affairs Committee in the following month.
- Nominations approved by the Academic Affairs Committee will be reviewed by the Graduate Council on the first Tuesday of the following month.
Example: A nomination submitted to gradinfo@ksu.edu between September 11 and October 10 will be reviewed at the October Academic Affairs Committee meeting. If approved by the Academic Affairs Committee, the nomination will be reviewed by the Graduate Council on the first Tuesday in November. If the nomination is approved by the Graduate Council, an approval letter will be distributed to the nominee and nominating department head via email within 10 working days of the Graduate Council meeting.
Exceptions
- Nominations received between November 11 and January 10 will be reviewed at the January Academic Affairs Committee meeting and then at the February Graduate Council meeting.
- Nominations received between April 11 and August 10 will be reviewed at the August Academic Affairs Committee meeting and then at the September Graduate Council meeting.
